These Terms & Conditions describe the process of registration, ticket allocation, and participation for Tech Talks by UPT events.
All tickets are offered free of charge and are subject to availability, validation, and confirmation steps designed to ensure fair access and optimal attendance.
By registering, participants agree to follow this process and the rules outlined below.
Access to the event is managed through a structured system designed to maximize attendance and minimize unused seats.
For the general public, registering for the event does not automatically generate a ticket. Instead, participants initially receive a reservation.
This reservation confirms eligibility for a ticket, but it becomes valid only after completing a confirmation step closer to the event date.
At a later stage, selected participants will receive an email asking them to confirm their attendance within a limited timeframe. Only after completing this confirmation will the ticket be officially issued.
If the confirmation step is not completed within the given timeframe, the reservation will be automatically canceled and the spot will be reassigned.
Submitting a registration does not create any contractual entitlement to receive a ticket. The allocation of tickets remains at the discretion of the organizer, based on availability and the process described above.
To ensure that tickets are used by participants who will actually attend, a confirmation step is required shortly before the event.
Participants will be notified by email when the confirmation period opens. This period is limited, and failure to respond in time will result in losing the reserved spot.
This mechanism allows tickets to be reallocated and helps ensure full event capacity.
Due to limited capacity and high demand, a waiting list may be created once all reservations are allocated.
If spots become available (for example, due to unconfirmed reservations), participants on the waiting list will be notified via email.
Tickets from the waiting list are allocated on a first come, first served basis, depending on who confirms first after receiving the notification email, rather than the order in which users joined the waiting list.
For this reason, participants are encouraged to monitor their email closely. Being on the waiting list does not guarantee access to the event.
The organizer does not guarantee ticket allocation from the waiting list and is not obligated to provide individual justification regarding allocation decisions.
A ticket is considered valid only after:
• Completing the confirmation step (if required)
• Receiving the final ticket (QR code or confirmation email)
Tickets are issued individually and are intended for personal use.
Tickets may not be sold, transferred for commercial purposes, or redistributed without the organizer’s consent.
Participants must present a valid ticket at the event.
The organizer reserves the right to deny access in cases where:
• The ticket is invalid
• The confirmation process was not completed
• The ticket was obtained outside the official process
In order to maintain a fair system, unused or unconfirmed spots may be reassigned.
The organizer reserves the right to refuse or withdraw access at any time in case of non-compliance with these Terms & Conditions or if the integrity of the event process is affected.
Since tickets are free and demand is high, participants are expected to act responsibly.
Failing to confirm attendance or not showing up after confirmation may affect eligibility or priority for future events organized under the same format.
In order to support event organization, partnerships, and institutional collaboration, a limited number of tickets may be allocated through separate channels (such as invitations, partners, or institutional allocations).
These tickets are managed independently from the general public registration process and do not follow the same allocation mechanism.
However, they remain subject to the general participation principles outlined in these Terms & Conditions.
The organizer reserves the right to modify aspects of the event, including schedule, speakers, or format, if necessary.
The organizer shall not be held responsible for cancellations or changes caused by events beyond reasonable control (force majeure).
By attending the event, participants acknowledge that photo, video, and audio recordings may take place.
These materials may include the image or likeness of attendees and may be used for communication, documentation, and promotional purposes by the organizer, without compensation.
To ensure a positive and safe experience for all participants, attendees are expected to respect the event environment, speakers, organizers, and other attendees.
Unless explicitly permitted by the organizer, recording (audio, video, or photography) during the event may be restricted.
In certain situations, based on the nature of the event, speaker requirements, or other operational considerations, participants may be informed that recording is not allowed.
Participants must comply with any such instructions communicated before or during the event.
If a participant records or distributes content without permission, the organizer reserves the right to request the immediate deletion of such materials.
Participants are expected to comply with such requests without delay.
Failure to comply may result in removal from the event and may lead to further actions, where applicable, in accordance with the law.
The organizer reserves the right to remove any participant who violates these rules or disrupts the normal conduct of the event, without prior notice.
By registering, participants acknowledge that their personal data, including name, email address, phone number, and registration details, will be processed for the purpose of:
• Managing registrations and ticket allocation
• Sending event-related communications
• Contacting participants when necessary regarding access, confirmation, event logistics, or changes
• Ensuring event access and organization
Personal data will be stored for a period of up to 12 months after the event, unless a longer retention period is required by law or justified by legitimate organizational needs (such as handling inquiries or future event participation records).

All important updates regarding registration, confirmation, and participation will be sent via email.

The organizer makes reasonable efforts to ensure a fair and transparent ticket allocation process.
However, participation in the event is subject to availability and compliance with the process described above.
The organizer shall not be held responsible for:
• failure to obtain a ticket
• loss of reservation due to non-confirmation
• missed notifications or emails
• technical issues beyond reasonable control
All decisions regarding ticket allocation and participation are made in accordance with these Terms & Conditions and the operational requirements of the event and are final.
These Terms & Conditions may be updated or adjusted when necessary to reflect changes in the event structure or organization.
Participants are encouraged to review them periodically.
By registering for the event, participants confirm that they have read, understood, and accepted these Terms & Conditions.
